How we collect, use, and protect your personal information

Last updated: 28 September 2026

This privacy policy explains how Pro Inventories collects, uses, and protects your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If you have any questions, contact us at info@propertyinventories.co.uk.

1. Who We Are

Pro Inventories ('we', 'us', 'our') is a professional property inventory service operating across Surrey, Berkshire, and Hampshire. We provide check-in inventories, check-out reports, mid-term inspections, interim inspections, Energy Performance Certificates (EPCs), and 360° virtual tours to landlords, letting agents, and property management companies.

We are the data controller for the personal information we collect through this website. If you have any questions about how we handle your data, please contact us at info@propertyinventories.co.uk or by telephone on 073013 83013.

2. What Personal Data We Collect

We collect personal data only when you voluntarily provide it to us. This includes:

Contact and booking information: your full name, email address, telephone number, property address, number of bedrooms and bathrooms, preferred appointment date, property type, furnished status, and any additional notes you include in your booking request.

Work order documents: if you choose to upload a work order file (PDF, Word document, or image) as part of your booking request, we receive and process that file.

Technical data: when you visit our website, our hosting infrastructure may automatically log your IP address, browser type, pages visited, and the date and time of your visit. This data is used solely for security and operational purposes and is not used to identify you personally.

3. How We Use Your Personal Data

We use the personal data you provide to: respond to your enquiry or booking request; arrange and confirm property inspection appointments; communicate with you about your booking, including any changes or follow-up; and comply with our legal obligations.

We do not use your personal data for automated decision-making or profiling. We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Lawful Basis for Processing

We process your personal data on the following lawful bases under the UK General Data Protection Regulation (UK GDPR):

Contract: processing is necessary to take steps at your request prior to entering into a contract, and to perform the contract for property inspection services.

Legitimate interests: we may process certain technical and operational data where it is in our legitimate interests to maintain the security and performance of our website, provided those interests are not overridden by your rights.

Legal obligation: we may process data where necessary to comply with a legal obligation to which we are subject.

5. How Long We Keep Your Data

We retain personal data submitted through our contact and booking form for as long as is necessary to fulfil the purpose for which it was collected, and for a reasonable period thereafter to deal with any follow-up queries or disputes.

In practice, we retain booking and contact records for up to six years from the date of the last interaction, in line with standard limitation periods under English law. Technical server logs are retained for a shorter period, typically no longer than 90 days.

If you ask us to delete your data and there is no legal obligation requiring us to retain it, we will do so promptly.

6. Cookies

Our website uses strictly necessary cookies to ensure the site functions correctly. These cookies do not track you across other websites and do not require your consent under UK GDPR.

We do not currently use analytics cookies, advertising cookies, or any third-party tracking technologies that would require your prior consent. If this changes, we will update this policy and display an appropriate consent notice.

7. Third Parties and Data Processors

We use a small number of trusted third-party services to operate our website and business. These act as data processors on our behalf and are contractually required to handle your data securely and only for the purposes we specify.

Our website is hosted on GoDaddy's Airo platform. GoDaddy may process technical data (such as IP addresses and server logs) as part of providing hosting services. GoDaddy's privacy policy is available at godaddy.com/legal/agreements/privacy-policy.

We do not transfer your personal data outside the United Kingdom or European Economic Area unless adequate safeguards are in place.

8. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

Right of access: you may request a copy of the personal data we hold about you.

Right to rectification: you may ask us to correct inaccurate or incomplete data.

Right to erasure: you may ask us to delete your personal data where there is no compelling reason for us to continue processing it.

Right to restriction: you may ask us to restrict processing of your data in certain circumstances.

Right to object: you may object to processing based on legitimate interests.

Right to data portability: where processing is based on consent or contract and carried out by automated means, you may request your data in a structured, machine-readable format.

To exercise any of these rights, please contact us at info@propertyinventories.co.uk. We will respond within one calendar month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe we have not handled your data lawfully.

9. Data Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our website is served over HTTPS, and access to any stored data is restricted to authorised personnel only.

No method of transmission over the internet is completely secure. While we do our best to protect your data, we cannot guarantee absolute security.

10. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. The date at the top of this page indicates when the policy was last revised. We encourage you to review this page periodically.
